1. Who we are
Officer Saathi (“we”, “us”) is operated by Officer Saathi Technologies Pvt. Ltd., an Indian company with its registered office at W 2/6, West Patel Nagar, New Delhi, Delhi 110008, India. This policy applies to the Officer Saathi mobile application, our website at officersaathi.com, and any related services.
2. Data we collect
We only collect what we need. That includes:
- Identity details: your legal name, date of birth, gender, city, and the photos you upload.
- Service information: your cadre, batch, current posting, or (for elite members) your profession and self-declared income band.
- Verification documents: appointment letters, posting orders, payslips, Form 16, ITR acknowledgements, or institutional IDs. These are encrypted at rest and visible only to our verification team.
- Preferences and prompts: matrimony preferences (marital status, religion, height, mother tongue, family type, Manglik status, diet, fitness, work rhythm) and personality prompts you choose to answer.
- Usage data: swipes, likes, matches, messages, and profile views — used strictly to compute compatibility and keep the service safe.
- Device telemetry: device model, operating system version, app version, crash reports, and a stable anonymous identifier for analytics.
3. How we use it
We use your data to:
- Match you with compatible members using vector embeddings (1536-dim, computed with OpenAI's text-embedding-3-small model).
- Verify your identity and eligibility.
- Operate core features — daily picks, chat, notifications, pause/delete, support.
- Investigate reports of harassment, fraud, document forgery, or policy violations. Reports submitted via in-app reporting or to safety@officersaathi.com are triaged within 24 hours, and verified violations are acted upon — including content removal, suspension or permanent ban — without further notice.
- Provide blocking, reporting and pause/erase controls inside the app so that you can manage who sees your profile and how you exit the service.
- Improve the product, with aggregated analytics that cannot be tied back to you.
We do not train machine-learning models on your private conversations, and we do not sell your data to anyone.
4. Verification documents
Documents you upload for verification are encrypted at rest using AES-256 and stored separately from your public profile. Only trained members of our verification team can view them, every access is logged, and all decisions are auditable. Once verification is complete, your documents are retained solely for compliance — they never appear on your profile and are never shared with other users.
5. Sharing
We share data only with:
- Service providers who host or process data strictly on our behalf (Convex for real-time data, Clerk for authentication, RevenueCat for subscriptions, Sentry for crash telemetry, Apple and Google for App Store billing and push notifications).
- Payment processors as required to handle App Store / Play Store subscriptions.
- Law enforcement or regulators, but only when compelled by valid legal process — and where permitted, we will notify you first.
We do not sell, rent, or barter your data.
6. Retention
We retain your profile while your account is active. If you pause your account, your data is preserved but hidden from all feeds. If you delete your account, your profile, messages and uploaded media are purged from our primary systems within 30 days. Verification documents may be retained for up to 12 months to satisfy audit obligations, after which they are permanently destroyed.
7. Security
We encrypt data in transit (TLS 1.2+) and at rest. Access to production systems is restricted to a small number of engineers, requires multi-factor authentication, and is logged. Screenshots taken inside the app carry a viewer-traceable watermark to discourage leaks. No system is perfectly secure, but we treat your privacy the way we would our own.
8. Your rights (DPDP Act, 2023)
Under India's Digital Personal Data Protection Act, you have the right to:
- Access the personal data we hold about you.
- Correct any inaccurate information on your profile.
- Erase your account and all associated data within 30 days.
- Withdraw consent for specific uses — for example, marketing communications.
- Grievance redressal: you can reach our Grievance Officer at legal@officersaathi.com. We will respond within 30 days.
9. Children
Officer Saathi is strictly for users aged 18 and above. We do not knowingly collect data from anyone under 18. If you believe a minor has created an account, please email us at legal@officersaathi.com and we will remove it immediately.
10. International users
Our servers are located in India. If you use Officer Saathi from outside India, you are consenting to your data being processed in India under Indian law.
11. Changes
We may update this policy from time to time. Material changes will be communicated in-app and by email to the address on file at least 14 days before they take effect. The date at the top reflects the current version.
